Technology Committee

Committee of:

Chairperson, appointed by the Board, and three to five individuals selected by the chairperson and subject to approval of the Board.

The Webmaster will be included as a voting member of the Technology Committee and not count as one of the three to five additional individuals.

With the approval of the Board of Directors, the Technology Committee may delegate special projects to an ad hoc subcommittee that may include persons outside of the Technology Committee. When that occurs, such subcommittees shall include at least one member of the Technology Committee, and the Technology Committee chairperson shall monitor their progress.

Skills Required:

Familiar with, and willing to learn more about a broad range of technical fields such as:

  • Data management
  • E-mail services
  • Website creation, development and management
  • Digital archiving, storage and retrieval
  • Digital photography and videography
  • ISP operations and services
  • E-commerce
  • Internet security
  • Publishing (print, electronic and online)
  • Multi-media production
  • Inter-operability, compatibility and digital standards

Neither the chairperson, nor any one individual on the committee, need be an expert in all of these things. However, they should be sufficiently familiar with the possibilities for making the GRCA more technologically effective and efficient that they can ask the right questions and recommend appropriate technological solutions.

The members of this committee must be technically knowledgeable, and keep apprised of changes in the technologies available and directions of future development.

Responsibilities:

Website Along with the Webmaster, arranges for management of the GRCA web site such as:

  • Securing a cost-effective ISP
  • Redesign of the existing site to provide:
    • A secure, functional and up-to-date online store
    • The ability to include online programs and information as developed by other GRCA committees
    • A GRCA resources section with information such as
      • The Bylaws
      • VC/VCX applications and requirements
      • WC/WCX test application and rules, ability to submit applications for WC/WCX online
      • All committee job descriptions
      • GRCA trophy photos and requirements
      • All GRCA awards information and applications as appropriate
      • Meeting minutes and agendas
      • Other information as might be requested by the Board of Directors.
    • A Member Forum section for:
      • Local clubs/delegates
      • Member input on current issues before the board
      • Announcements, notices, surveys
    • Timeliness
    • Online coverage (including photos) of regional and national specialties, and perhaps local specialties.
    • Site expansion to other applications of interest to the GRCA membership, such as online access to the database developed in Responsibility #3.

Yearbook

Develop a strategy for “Yearbook” production (including a total overhaul of how the yearbooks are produced and the most cost-effective and timely way to manage this). Consideration needs to be given for providing multiple formats including print and CD-ROM. Work in this area will need to be a collaborative venture with the Yearbook Editor and statisticians.

Database

Developing a shared database (related to Yearbook production)

  1. Input of data to avoid statisticians having to keep manual records or duplicate the efforts of another person. Data input should support automatic importing of data from external sources such as AKC, OFA, and Show Superintendents, as well as interactive input from owners.
  2. Data extraction capabilities in standard or customized formats – ex. lists of title holders for Yearbook, or lists of dogs with specific combinations of titles
  3. Long-term – to provide information of interest to members or breeders (ex. list of all Golden Retrievers that have are Champion OTCHs, or living males that have a Champion-MH.

Assisting standing committees or special committees with the production or development of materials and programs in a variety of formats when requested by that committee or the Board, or as required by the project being developed.

Provide for secure online access to archived materials needed by the Board (ex. Board Handbook), committees, or members (ex. GRCA Policies, reports, publications).

Provide for secure online access to the membership roster and Kennel Prefix Listing in a read-only format. GRCA Policy precludes distribution of these lists.

Initiate new programs, materials, and services that utilize state-of-the-art technology to further the mission of the GRCA. Such projects would require approval of the Board of Directors following submission of a detailed proposal with cost estimates and a project budget request. Where such projects might overlap with the responsibilities of another GRCA committee, the Technology Committee would be expected to work collaboratively with those committees to ensure that there is consistency and quality in the final product.

All custom materials and other deliverables created by or contracted for the Technology Committee will support the following license: “The GRCA has a non-exclusive, worldwide, perpetual, royalty free license to make, use, or modify any parts of the property developed or prepared for use by the GRCA.” Any project deliverables with exceptions to this rule must receive written approval from the GRCA Board.
